Founding School Operations Manager

Supervises

School operations support staff, facility partners, school vendors, back office support, custodian, bus driver, and lunch aides

 

Recommended Qualifications

DBAE is a founding school committed to a strong launch to our programming therefore the following qualifications are highly recommended for serious consideration of this role. 

 

  • 3+ years experience running operations for a charter school or similar organization. 

  • Comfort and experience defining and executing back-end systems (budget, payroll, data management ect.). 

  • Self-starter: Ability to work in a startup context, be flexible in responsibilities as the role evolves and as the school scales.  

  • Solutions-oriented: Identifies opportunities to strengthen work, resilient in the face of challenges. 

  • Detail-orientation: Strong background in creating organization systems for self and others. 

  • Proactive, positive communication: Thoughtfully keep others in the loop, support strong culture amongst staff, students, families, vendors.

  • Compliance Management: Knowledge and understanding of relevant laws, regulations, and standards in education, ensuring the school's compliance.

  • Establish efficient operational systems to achieve a 4 or 5-star rating within the first year.

  • Develop and manage the school's budget, ensuring financial sustainability.

  • Create and implement routines and procedures that foster a positive school culture.

  • Build strong relationships with stakeholders, enhancing community engagement.

  • Ensure compliance with all relevant laws and regulations.

  • Implement a comprehensive human resources strategy focused on recruitment, retention, and staff development.

  • Drive continuous improvement by regularly evaluating and enhancing operational systems.

Duties & Responsibilities

1. Strategic Planning and Development:

   - Collaborate with school leadership to set long-term operational goals and objectives.

   - Conduct regular assessments of operational effectiveness and develop strategies for improvement.

2. Budget Oversight and Financial Management:

   - Develop multi-year budget forecasts and financial plans to ensure the school's fiscal health.

   - Monitor expenditures and revenues, providing regular financial reports to the leadership team.

3. Facility Management:

   - Oversee the maintenance and improvement of school facilities, ensuring a safe and conducive learning environment.

   - Manage vendor contracts and relationships for facility services, repairs, and upgrades.

4. Technology Integration:

   - Lead the integration of technology into school operations, including data management systems and educational tools.

   - Ensure staff are trained in using technology effectively for administrative and educational purposes.

5. Compliance and Risk Management:

   - Develop and implement policies that ensure compliance with all local, state, and federal regulations.

   - Conduct regular risk assessments and implement mitigation strategies.

6. Community Engagement and Communication:

   - Serve as a liaison between the school and community organizations, fostering partnerships that support student learning.

   - Develop communication strategies to keep stakeholders informed about school operations and initiatives.

7. Professional Development and Training:

   - Identify training needs and create professional development opportunities for staff.

   - Implement mentorship programs to support new hires and enhance staff retention.

8. Crisis Management:

   - Develop and implement crisis response plans and protocols to ensure the safety of students and staff.

   - Coordinate communication during emergencies with all stakeholders.

9. Policy Development:

   - Establish and review school policies related to operations, safety, and compliance, ensuring alignment with best practices and legal requirements.

10. Data Analysis and Reporting:

    - Analyze operational data to identify trends and inform decision-making.

    - Prepare and present reports on operational performance to the school board and other stakeholders.

11. Student Systems and Enrollment:

    - Manage application processes and communications with prospective families.

    - Oversee student data systems and attendance policies.

    - Ensure accurate documentation for state reporting.

12. Financial and Talent Management:

    - Oversee hiring processes, including background checks and personnel systems.

    - Manage the school budget and procurement policies.

    - Submit compliance reports to back-office providers.

13. Day-to-Day Operations Management:

    - Coordinate food services and health and safety measures.

    - Support facility acquisition and layout planning.

    - Develop and manage the school safety plan, including disaster preparedness and health protocols.

    - Manage inventory of supplies and materials to enhance learning.

14. Team Management and External Partnerships:

    - Directly supervise office support personnel.

    - Manage community use of school facilities.

    - Coordinate operations for school field trips and events.
